Legal Administrator ($75,000 + $91,470 + 5% STI Target)

Job Summary:

The Legal Administrator will provide administrative support to the Legal Department. Main activities include assisting with maintenance of IT systems (including our contract lifecycle management tool, Ironclad and Monday.com for matter management), e-billing and day-to-day administrative duties. The role will also assist the legal department’s paralegal with state filings, entity maintenance and CT corporation invoicing.

Duties/ Responsibilities:

  • Maintain and update Monday.com to manage individual projects and group projects.
  • Maintain an active link between Monday.com and other IT systems to ensure a single source of information on projects, matters, workflows and budgeting.
  • Maintain the document database system (iManage).
  • Assist the paralegal with:
    • Maintaining an up to date entity management system (hCue).
    • Ensuring state filings are up to date.
    • Managing invoices from CT corporation.
  • Support with e-billing matter management tool (Legal Tracker), including managing matter budgets.
  • Book travel for attorneys and submit expense reports on behalf of attorneys (Concur).
  • Maintain training calendar for all internal/external trainings provided by SCOA Legal Department.
  • Maintain up to date information about the legal department on the Company intranet site.
  • Maintain Legal Liaison list (legal contacts within subsidiary companies).
  • Assist with the maintenance of Ironclad by creating and updating Workflows, ensuring accurate contract repository meta data, developing contract management best practices and processing new agreements for review by legal counsel and approval through various departments (using the contract management process).
  • Respond to internal business inquiries and direct clients to appropriate legal resources.
  • Provide general support and assistance to legal counsel.
  • Assist with other administrative tasks as needed.

Job Specific Knowledge/ Skills & Abilities 

<Required>

  • Self-motivated, strong work ethic and the ability to efficiently prioritize.
  • Excellent time-management and organizational skills with a focus on details.
  • Proficient computer skills, Microsoft Office Suite (Word and Excel).
  • Demonstrated ability to work cross-functionally and globally, with the ability to consult, build relationships, and/or indirectly influence enterprise-wide or cross-functional teams.
  • Familiarity with Monday.com, Ironclad, iManage, Navex and/or hCue a plus.

Education, Certification, and Experience:

<Required>

  • Bachelor's degree or equivalent business experience
  • 3+ years experience in a similar role
  • Operational experience with legal spend and legal related technologies.

Physical Requirements:

  • Hybrid work style (Minimum two (2) days per week onsite in the New York office).
    • Effective January 1, 2027, the requirement will change to a minimum of three (3) onsite days per week in the New York office).
  • Position primarily involves sedentary work requiring prolonged sitting, frequent computer and keyboard use, and occasional lifting or carrying of objects weighing up to 10 pounds.
