Global Mobility Operations Specialist ($92,000 - $112,000)

Job Summary:

The Global Mobility Operations Specialist provides operational and administrative support for international assignments and Global Mobility programs. This role ensures the accurate and timely execution of assignment-related processes, including payroll and compensation coordination, benefits administration, expense reimbursement, and financial tracking. The position works closely with internal Human Resources teams, Payroll, Accounting, external vendors, and overseas group companies, and contributes to operational efficiency, compliance, and continuous improvement of Global Mobility operations. 


Duties/Responsibilities:

 

  • Support Global Mobility processes across the full assignment lifecycle, including assignment initiation, changes, extensions, and repatriation.
  • Maintain accurate assignment records and supporting documentation within designated HR and Global Mobility systems.
  • Coordinate assignment workflows, approvals, and required documentation with HR partners, managers, and assignees to ensure timely processing. Prepare, review, and update payroll-related documentation for international assignees, including payroll memos and assignment-related compensation records.
  • Coordinate with Payroll, HRIS, and Total Rewards teams to support accurate payment processing, benefits enrollment, and assignment-related adjustments.
  • Respond to employee inquiries regarding payroll timing, reimbursement processes, and assignment-related payments in a clear and professional manner. Review assignment-related expense reimbursement requests and supporting documentation to ensure accuracy, completeness, and compliance with company policy.
  • Support company loan and assignment-related payment processes, including coordination of payment timing and communication with employees.
  • Assist with preparation, tracking, and documentation of Global Mobility-related costs and billing in coordination with Accounting teams. Support digital transformation initiatives related to Global Mobility operations, including improved use of HR systems, templates, and documentation practices.
  • Collaborate with cross-functional stakeholders to identify operational gaps and contribute to practical, sustainable improvement solutions.
  • Other duties as assigned.

 

Job Specific Knowledge/Skills & Abilities


<Required>

  • Strong attention to detail with the ability to manage multiple tasks accurately and efficiently.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
  • Business-level communication skills in both English and Japanese. 

 

<Preferred>

  • Experience supporting international assignments or expatriate programs. 
  • Familiarity with HR systems used for Global Mobility and payroll administration. 

 
Education, Certification and Experience:


<Required>

  • Bachelor’s degree or equivalent work experience in Human Resources, Business Administration, or a related field.
  • Minimum of 3 years experience in HR operations, global mobility, payroll, or related administrative functions.

 

<Preferred>

  • Prior experience in a multinational or global corporate environment. 


Physical Requirements:

 

  • Ability to perform standard office-based work with or without reasonable accommodation. 
  • Hybrid Working Style (Minimum 2 days in the office/week).
